Summary
Salesnamics B.V. processes business contact details and project information of (contact persons of) clients, suppliers, partners and leads in order to deliver services, manage relationships and comply with legal obligations. Data are shared only with carefully selected service providers, preferably within the EEA, are not kept longer than necessary, and data subjects have various rights under the GDPR, such as access, rectification and erasure.
1. Who are we?
Salesnamics B.V., with its statutory seat in Soest, the Netherlands, and registered with the Dutch Trade Register under number 67035876, is the controller within the meaning of the GDPR. For questions or requests, please contact privacy@salesnamics.com.
2. What data do we process?
We mainly process B2B data, such as:
- name and business contact details
- name, address and sector of the organisation
- role and position in the relationship
- date, time and location of contact moments
- project data, e.g. participant lists, notes, action points and feedback
Salesnamics does not aim to process special categories of personal data and requests that such information is not shared with us.
3. Why do we process this data?
We process personal data for the following purposes:
- performance of agreements and services, including consultancy, trainings and project delivery
- relationship management and business communication, including client or lead contact, news and invitations
- financial administration and legal obligations, including invoicing and tax requirements
- evaluation and improvement of our services
Processing is based on performance of a contract, legal obligations and our legitimate interests in professional service delivery and relationship management; where consent is required, we request it separately and it can be withdrawn at any time.
4. With whom do we share data?
We only share personal data where necessary for our services, for example with:
- IT and cloud service providers
- administrative service providers and accountants
- mailing and communication service providers
We conclude data processing agreements with such parties; they process data only on our behalf and in accordance with the GDPR. Salesnamics does not sell personal data and does not make it available for third party marketing purposes.
5. Transfers outside the EEA
Where possible, we process personal data within the European Economic Area (EEA). If data are processed outside the EEA, we implement appropriate safeguards, such as Standard Contractual Clauses or processing in countries with an adequacy decision. Further information is available on request.
6. Retention periods
We do not retain personal data longer than necessary for the purposes described in this statement, unless a longer period is required or permitted by law.
In practice, CRM and project data are kept for the duration of the business relationship and a reasonable period thereafter, in principle up to a maximum of 7 years after the last substantive contact, and financial/tax data are kept for 7 years after the end of the relevant financial year.
Afterwards, data are deleted or anonymised; data subjects may object to the use of their data for relationship management and marketing.
7. Rights of data subjects
Under the GDPR, data subjects have, among others, the right to:
- access their data
- request rectification or erasure
- request restriction of processing
- data portability
- object to processing based on legitimate interests
- withdraw consent previously given
Requests can be submitted via privacy@salesnamics.com; we will generally respond within one month.
Data subjects also have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens): www.autoriteitpersoonsgegevens.nl .
8. Security
Salesnamics implements appropriate technical and organisational measures to protect personal data against loss and unlawful processing, including access controls, secure connections, an appropriate password policy and internal procedures and awareness measures.
9. Changes
This privacy statement may be amended periodically; the most recent version is always available on our website. In case of material changes, we may actively inform data subjects, for example by e-mail or a notice on the website.
